GymHub PH — Closed Beta

Welcome to GymHub PH! GymHub PH (“we,” “us,” or “our”) provides an upcoming cloud-based Electronic Membership and Management System (“Service”) designed to help gyms, fitness centers, trainers, and staff manage memberships, scheduling, attendance, and operational tasks.
GymHub PH is currently operating in an exclusive, limited closed beta testing phase. By registering for or using this beta version, you (“Client,” “User,” or “you”) agree to participate in our testing guidelines and cooperate with our development team to help improve the platform.

1. Participation in the Closed Beta

By creating a testing account or using any part of GymHub PH, you confirm that you understand this is an upcoming software platform currently undergoing active development.
If you are setting up an account on behalf of a gym or fitness center, you confirm that you are authorized by your gym management to test this system with your team.

2. Description of Beta Features

During this testing block, GymHub PH provides access to a trial digital platform that includes:
  • Member registration and profile setup
  • Trainer and staff dashboard assignments
  • Attendance tracking and check-in workflows
  • Class scheduling and digital reservations
  • Basic operational reports and analytics tools
  • Automated email notifications and reminder systems

Notice: Because this is an active development phase, we reserve the right to add, modify, pause, or remove certain features at any time to fix bugs or optimize performance.

3. What to Expect from a Closed Beta

As a beta testing participant, you explicitly acknowledge and understand that:
  • Some software features may be incomplete or act as placeholders.
  • Minor technical bugs, interface glitches, or temporary system downtime may occur.
  • System layouts, workflows, and database structures might change as we update the software.
  • The platform is provided entirely on an “as is” and “as available” testing basis.

Recommendation: We highly recommend keeping your own independent backup logs of your critical business files outside of the platform during this testing phase.

4. Account Security & Community Safety

To help keep our test database secure, users agree to:
  • Provide accurate information when setting up your gym profile.
  • Keep your login credentials private among your authorized staff.
  • Avoid sharing user accounts with outside parties who are not part of your gym.
  • Let us know immediately if you notice any strange account behavior or suspect a bug has compromised your access.

5. Responsible Gym Management

Gym owners and system administrators remain entirely responsible for the records they choose to upload.
You agree to manage your members’ profiles responsibly and ensure that any staff members or members you invite to use the platform are informed that they are participating in a closed beta software trial.

6. Acceptable Testing Rules

To ensure a smooth testing environment for everyone, users agree NOT to:
  • Use the testing platform for fraudulent, deceptive, or malicious actions.
  • Intentionally try to disrupt, crash, or overload our cloud servers.
  • Attempt to access systems beyond your authorized scope.
  • Upload harmful materials, malicious files, or malware into the database fields.

Notice: We reserve the right to pause or close any test account that creates security risks or disrupts the platform.

7. Data Ownership & Limited License

All member data, attendance logs, and business records you type into the platform remain 100% your property. GymHub PH does not claim any ownership over your information.
By uploading data during the trial, you grant GymHub PH a limited permission to securely store, backup, and display that data within your account dashboard solely so the software can work properly for you.

8. Technical Setup & Third-Party Hosts

We run GymHub PH using reliable, standard technical providers to keep the platform reliable and responsive:
  • Cloudflare for cloud architecture and infrastructure protection.
  • Firebase for secure user login verification and frontend hosting.
  • Railway for deploying our backend code and processing data calculations.

Notice: These providers operate under their own systems, and we are not responsible if they experience independent internet service outages.

9. Beta Pricing & Future Plans

GymHub PH is completely free to use for our invited beta testers during this closed testing cycle.
No subscription fees are charged during the closed beta period. If we introduce paid service tiers, premium operational features, or pricing models in the future, we will provide ample advance notice before any charges apply.

10. Leaving the Program

You are free to stop testing the platform whenever you want. If you decide to end your participation, just let us know and we will happily delete your testing records and account data from our active development servers.

11. Intellectual Property & Brand Development

The software code, layout designs, user interfaces, branding graphics, and operational tools within GymHub PH are owned by the GymHub PH project group.
We grant you a friendly, non-exclusive right to log in and use these features to manage your gym business during our testing period.

12. Updating Our Testing Guidelines

As GymHub PH evolves, we reserve the right to modify, update, or change these terms and testing guidelines at any time, though we will make reasonable efforts to notify users of significant changes.
Any changes will become effective immediately once posted within the platform or on our developer logs.
Your continued participation in the closed beta after updates are posted means you accept and agree to the revised guidelines.
