GymHub PH (“GymHub PH,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the business and member information processed through our upcoming Electronic Membership and Management System (“Service”). Because GymHub PH is currently in a closed beta testing phase, this policy outlines how we handle, store, and safeguard your testing data in a straightforward manner.

1. Scope of This Closed Beta Policy

This privacy policy applies strictly to gym owners, managers, and staff who are voluntarily participating as beta testers for GymHub PH.
As a participating gym, you control the information you enter about your members. GymHub PH simply hosts, stores, and processes this information securely to let you test the system’s features.

2. Information We Collect During Testing

To run and improve the closed beta, we collect:
  • Basic Contact Details: Information for your gym account, such as your name, email address, phone number, and gym name.
  • Public Business Data: Information which we initially used to find your business on Google Maps and invite you to our testing group.
  • Testing Records: Sample or real member records that you choose to enter into the platform (profiles, scheduling, or attendance data) to test how features handle daily operations.
  • Technical Diagnostics: System logs, error reports, and platform activity, which helps us fix bugs and track system stability.

3. How We Use Your Testing Data

We use the information collected during this beta period exclusively to:
  • Operate, maintain, and monitor the features of the GymHub PH software.
  • Coordinate with you directly to schedule system demonstrations, provide support, and manage your beta invitation.
  • Gather your valuable feedback, suggestions, and feature requests to help us build and improve the platform.
  • Identify and patch software bugs, track server crashes, and optimize data speeds.

4. Data Ownership & Trust

  • All member data, attendance logs, and business records you enter stay completely yours. We do not claim ownership of your data.
  • GymHub PH will never sell, trade, or distribute your gym or member data to third-party advertisers.
  • As a tester, you agree to enter information responsibly and ensure your staff and members are informed that their data is being managed through a beta platform.

5. Technical Infrastructure & Providers

To securely host this closed beta, we use established, modern cloud service providers:
  • Cloudflare for cloud infrastructure, storage, and platform protection.
  • Firebase for secure user login authentication and frontend application hosting.
  • Railway for hosting our backend application and processing system requests.

Notice: These platforms handle our data architecture securely, and we may modify our technical stack as the project evolves.

6. Service Reliability & Security Measures

Even though this is an independent software project in its early testing stages, we use standard security measures to protect your account, including secure login screens, role-based staff access, and encrypted data transfers.

Notice: Because this is a closed beta, temporary downtime, system updates, or feature resets may happen. We recommend keeping backup copies of any critical business records outside the platform.

7. Account Closure & Data Deletion

You can stop participating in the beta program at any time.
If you choose to leave the program or request to have your testing account closed, we will happily purge your database records and account history from our cloud servers upon request.

8. Changes to Our Testing Guidelines

We may adjust, update, or completely change this privacy policy from time to time to reflect changes in our software structure or development needs, though we will make reasonable efforts to inform active testers of significant changes.
We encourage you to review this policy periodically right here on the platform.
Continued use of GymHub PH after changes are applied constitutes your acknowledgment and acceptance of the updated privacy practices.
